GSR FAQs - access and automated email notifications

These frequently asked questions (FAQs) cover access to GSR, and automated GSR email notifications. Content will be added to this page as Student Systems receives queries.

  • Graduate students are given access to GSR in Student Self Service automatically.
     
  • Supervisors are assigned relationships with students in eVision by graduate administrators/GSAs, and access to GSR is based on these relationships. Supervisor-student relationships are usually updated in the run up to reporting. If, during the reporting period, you need to get a contact updated, please get in touch with your graduate studies contactExternal supervisors will need a virtual access card form, in order to access GSR in eVision. 
     
  • College advisors are assigned relationships with students in eVision by their college, and access to GSR is based on these relationships.
     
  • DGSs, Course Directors and subject administrators are given access as advised by GSR super users.
     
  • College administrators are given access as advised by college information custodians (Oxford SSO login needed to view this page)

You will be sent automated email notifications from GSR at key points during the reporting period, including when your reporting window opens. The notifications will include details of how to access GSR, and will include support contact details.

You can access GSR in eVision using your Oxford SSO (sometimes referred to as your Oxford username) and password. Then:

  1. Select ‘Supervision Reporting
  2. Select 'Supervision Reporting Dashboard’ - you will be able to view any self-assessment reports students have submitted here
  3. Click on the ‘Edit’ button to edit the report

Supervisors, Course Directors/DGSs, college advisors, and college administrators will all receive automated email notifications. Please refer to the Manage User Preferences Quick Reference Guide on the Training Materials web page.

All automated GSR email notifications to contributors are outlined in the Automated GSR notifications document, available from the GSR in eVision home page. Briefly:

  • Subject administrators may send additional ad hoc email notifications to students, supervisors and Course Directors/DGSs, while college administrators may send additional ad hoc email notifications to college advisors.
  • Students will receive an automated email notification when their reporting window opens, a reminder before it closes, and notifications when a supervisor or their Course Director/DGS submits.

It will not be possible to opt out of automated email notifications completely. Please refer to the Manage User Preferences Quick Reference Guide on the Training Materials web page.

In addition to the automated GSR email notifications, subject administrators can send additional email notifications to supervisors, DGSs and Course Directors. College administrators can send additional email notifications to college advisors.

If you have more than one role in GSR, you will be presented with different sections within your GSR home/menu screen, each containing links to the relevant screens for each role.
