Telephony Replacement: FAQs

Teams Phone & Chorus

The Chorus VoIP and Teams Phone systems are connected (via the University’s telephony providers) so the basic telephony functions listed below work between them:  

  • calling internal numbers 
  • transferring calls (whether this is a blind transfer or a consulted transfer) 
  • automatically forwarding calls  

However, there are some features that do not operate if people are using different telephony systems so should be taken into account when planning your transition to Teams Phone: 

  • Chorus Hunt Groups, or Teams Phone Call Queues, will only work if all the members of the Group or Queue are using the same system

  • Executive Assistant functions do not operate across the two systems 

  • call monitoring of other users’ busy status does not work if the other user is on a different system 

  • intercoms which are video enabled on Chorus will not display the video for Teams Phone user 

In addition, there are some network considerations that colleges and departments need to take in account when deploying Teams Phone handsets. IT Services will enable a port on the Frodo for the Teams Phone network. ITSS will then need to manage two voice Vlans on their internal network.

Yes, but you and all the Executives will need to using Teams Phone.  You can't manage someone else's phone if you are using Teams Phone and they remain on Chorus.  See further information at Teams Phone: Group Working | IT Help.

  • If you use a Chorus desk phone to receive a phone call as your way of authenticating your Oxford SSO (Multi Factor Authentication), you can continue to do so because the phone call will come through Teams Phone but you need to be logged in to Teams for this to work   
  • You should also set up an alternative method and further information is available on the IT Help website. By doing this, you can still authenticate your account if you are not logged in to Teams, or you are in a Teams call (when incoming phone calls are sent to voicemail), or when your computer is shut down. 
  • If you are accessing Teams Phone through a handset (like a desk phone) you will need to set up an alternative method before you log into your handset in order to access your handset.  Thereafter you can use a Teams Phone call as your way of authenticating your SSO

    Note: this will work until the MFA functionality by telephone is removed ​(which is already the case for new users)

University phone numbers & making calls without one

The table below outlines what is possible if you use Teams without Teams Phone so do not have a University phone number:

Yes, you can forward both internal and external phone calls through Teams to someone who does not have a University phone number

Can I auto-forward phone calls from my University phone number to someone who does not have a University phone number via Teams?

Yes, you can

Can someone without a University phone number be part of a call queue?

No, you have to have a University phone number to be part of a call queue

How do I call an external phone number if I do not have a University phone number?

You cannot do this directly.  However, if a member of your unit is authorised to make calls for you, they could call the external phone number, then transfer the call to you via Teams.  You do not need to have a telephone number yourself.  Of course, if the external party has a Teams account, you should be able to call them directly via Teams.

If I don’t have a University phone number can someone who does have a number (e.g. a receptionist) call an external line on my behalf and redirect it back to me?

Yes, that is possible.  However, the person making the call for you (e.g. the receptionist) could be billed for the call, particularly if it is of long duration or to a high cost location

  • You can call the central IT Service Desk and Security Services through Teams even if you do not have Teams Phone - using the search box under Calls

  • You can also call your college or departmental IT, HR, Finance or other teams via Teams in the same way, as long as those teams have a Call Queue set up

Yes, by using a call queue. The number is assigned to a resource account, not a person.  This would incur no extra cost as telephony is included in the A5 licence and resource accounts are currently free

Choosing personal vs common area phones

The main reason for somebody needing to retain a personal telephone line is if they need to make or receive external calls​ from a University number.

If a phone line can be linked to a person, it should be.

A common area line is appropriate if it needs to be:

  • linked to a role (eg bursar or tenured position) 
  • linked to a location (eg library, lobby, laboratory) which is staffed by multiple colleagues performing the same role. 

Staff currently sharing a Chorus desk phone should move to using a common area handset. 

Common area passwords have to be reset by local IT Managers on first log in. Passwords will then be under local IT control, following your local procedures 

If your existing Chorus phones don't have a separate power cable, it should be the case that any new Teams Phone handset won't need one either and can get its power from the network cable. The only exception to this rule is that if you're using a CCX505 with an expansion module, this requires more power, and you'll need an additional power supply.  Otherwise, Teams Phone handsets will just work using the same cable you use for the Chorus phones.

Handsets

  • Generally the advice for personal lines is to use headsets (or the computer's inbuilt microphone and speaker, or the mobile app) unless there is a specific preference or accessibility requirement that can be better met by a handset
  • Common area lines will need handsets
  • After logging in to your personal Teams handset for the first time you will remain logged in until your SSO login annual expiry.  See further information at Single sign-on password expiry | IT Help 
  • If you unplug the phone from the socket, it will log back in automatically when plugged back in but only if you do so within 24 hours
  • You are strongly recommended to set up a lock PIN on your personal handset, particularly if it has full Teams integration, to ensure the security of your account and prevent others from accessing your information

As long as the handset itself is logged in, either as a common area device or by an individual, anyone can answer an incoming call when the phone rings

  • The handset needs to be logged in in order to operate
  • You could make a call from that device if the person logged in to it has not set a lock PIN.  [You are strongly recommended to set up a lock PIN on the handset, particularly if it has full Teams integration, to ensure the security of the information contained in it or the associated Teams account]

January 2026: there are approximately 5400 Teams Phone users across the University with only a few using handsets (mostly for testing by IT support staff)  

Yes, Avoira is the University's contracted supplier.  

The University has worked with Avoira for many years, and its purchasing team has secured agreement for good prices for recommended hardware, as part of a comprehensive supplier appraisal process

Once provided to colleges/ departments, the ownership would sit with that unit and it would be responsible for future replacements when handsets reach end of life (which is expected to be in 5-7 years, if not longer)

Call handling and user features

Yes you can mask your caller-id from external contacts by completing a change caller id Service Request

Yes, you can block calls in Teams Phone: see How to block a nuisance number in Teams

The Communication and collaboration team can block calls system wide if the request is submitted via the University's Security Services, as outlined in the advice on the nuisance calls webpage.

  • As long as you both have a University phone number (ie have Teams Phone enabled), you can set up a call group in Teams Phone to allow you to pick up a colleague's phone calls
  • Anyone can answer a call to a Teams Phone enabled handset (ie a phone on a desk)

If your status indicates you are unavailable or you are unable to answer a Teams Phone call, for example because you are in a Teams meeting, you are not logged into Teams or your computer is switched off, the call will be treated according to how your 'when you can't answer a call' settings are configured. The options are re-directing it to Voicemail, re-directing to another phone number, or 'do not re-direct call'.  If you do not re-direct calls, they will show as unanswered.

It is possible to set up an autoattendant which will play a greeting, or message to callers before putting the call through to anyone.  It is also possible to have voicemail, which will play a message to, and then take messages from callers.

Group working, Call Queues and shared answering

A single point of contact such as an enquiries line, reception, or support team is best served by setting up a Call Queue (known on Chorus as a Hunt Group). Team members can be assigned calls according to their availability, and will be able to handle calls remotely using either the Desktop Client or their mobile device.  For more information see:

Yes, and they do not require a licence or incur a licence cost  

Call Groups: share one person’s line, inbound only, no outbound calling.  

Call Queues: use a shared non-personal number, inbound and outbound calling supported.

Emergency calling and safety-critical use

You can call 999 (or 112) from a Teams Phone line, as long as you have an internet connection, but the handler will not recognise your location

There is a Teams Walkie Talkie feature, which can push out messages. Otherwise, you could look into using the University's Safe Zone mass alert system   

Teams Phone licences

The move to Microsoft A5 licences means that licence shortages will no longer occur

User accounts and changes

Security, continuity and resilience

Yes, Teams Phone is PCI-DSS compliant but you need to have an account set up to activate this.  Please contact the Finance Division in the first instance, see PCI DSS | Finance Division

Business continuity and resilience

No, it will cease to operate, as is the case with Chorus VoIP (digital) telephony

No, they will not.  Passwords are not set to expire in these circumstances

Arrangements for OUSS are still under discussion. This could be a Zoom contact centre but issues around connectivity will remain, so this may be underpinned by ordering in broadband from another supplier with UPS to ensure the required resilience. This could be a possibility for college lodges as well if they need to remain connected at all times

 

Teams Room, other platforms and devices (eg intercoms)

Teams meeting rooms are not in scope for the Telephony Replacement Project but guidance on how to set one up is available on the IT Help website.

The Teams Meeting Room Pro licence includes telephony.  Please contact the project team if you want a phone number set up on your meeting room device.

Yes, you can use Teams Phone through your browser on your desktop or laptop
